Who we are
Interiors at Work is operated by The Kennedy Agency and JayKay Sales, based in Alberta and British Columbia, Canada.
This policy explains how we collect, use, disclose and protect personal information through our recruiting services, Talent Network, industry job board and related communications involving candidates and employers in Canada and the United States.
Information we collect
Depending on how you interact with us, we may collect:
Your name, email address, telephone number and general location.
Your résumé, cover letter, portfolio, LinkedIn profile and other professional information you choose to provide.
Employment history, education, qualifications, skills and industry experience.
Career interests, preferred locations, work arrangements, availability and compensation expectations.
Information you provide during conversations, correspondence or interviews.
Employer contact details, job descriptions and information needed to manage recruiting services or job listings.
Consent records and preferences for communications.
We generally collect information directly from you. With appropriate authorization, we may also obtain relevant information from references or other sources involved in a recruitment process.
Please do not submit Social Insurance Numbers, Social Security numbers, banking details, identification documents or unrelated sensitive information through our general registration forms. Obtain permission before providing another person’s contact details as a reference.
How we use your information
We use personal information to:
Create and maintain candidate profiles.
Understand your experience, qualifications and career interests.
Assess potential matches with employment opportunities.
Contact you about your profile, interests or relevant opportunities.
Coordinate candidate introductions and recruitment activities.
Manage employer relationships and job submissions.
Respond to questions, requests and complaints.
Maintain service security and meet applicable legal obligations.
When you join the Talent Network, we may retain your profile for consideration for future opportunities, subject to your preferences and our retention practices.
Joining the Talent Network does not guarantee an introduction, interview, placement or employment.
Consent and your choices
We explain the purposes for collecting your information and obtain consent where required.
You may decline to provide optional information. If you do not provide information necessary for a particular service, we may be unable to provide that service or consider you for a specific opportunity.
You may withdraw consent for future use or disclosure by contacting us. We will explain any resulting limitations and any information we must retain for legal reasons.
Withdrawing consent does not reverse disclosures already made with your permission.
Sharing information with employers
We obtain your permission before sending your résumé, identifying candidate profile or other personal information to a prospective employer for recruitment purposes.
Joining our Talent Network does not make your profile public or give employers unrestricted access to your information.
We do not contact your current employer or references without your authorization.
Once an employer receives your information, its own privacy practices and legal obligations apply. We cannot guarantee deletion of information already lawfully provided to an employer, but we can help direct your request to the appropriate contact.
We do not sell candidate contact lists or résumés.
Service providers and other disclosures
We use service providers to support our operations, including Zoho Recruit for candidate registration and recruitment records, Squarespace for our website, and providers of business email and related technology services.
These providers may process personal information on our behalf to deliver their services. We remain responsible for information under our control and take reasonable steps to assess providers and establish appropriate privacy protections.
We may also disclose information where required or authorized by law, including in response to valid legal requests, or where necessary and legally permitted to protect rights, safety or service security.
Information processed across borders
We serve candidates and employers in Canada and the United States. With your permission, a recruitment introduction may involve sending your information to an employer in another country.
Our service providers and their authorized personnel may also store, process or access information in other jurisdictions, depending on the services and arrangements involved. Information processed in another country may be subject to that country’s laws and lawful access by its authorities.
Contact us for information about the processing arrangements relevant to your personal information.
How we protect information
We use reasonable administrative, technical and physical safeguards appropriate to the information we handle. Access is limited to authorized people who need the information for their responsibilities.
No internet transmission or storage system is completely secure. If a privacy incident occurs, we will assess it and take appropriate action, including notification where required by applicable law.
How long we keep information
We retain personal information for as long as reasonably necessary for the purposes described in this policy and to meet applicable legal obligations.
Retention depends on whether your profile remains active, our interactions with you, ongoing recruitment activity, your consent preferences and legal recordkeeping requirements.
Where British Columbia law requires us to retain information used to make a decision directly affecting you, we retain that information for at least one year after its use.
When information is no longer needed and retention is no longer required, we securely delete, destroy or anonymize it. Information in backups may remain until those backups are rotated or deleted under the applicable schedule.
You may contact us to request removal from the Talent Network. We will explain any records we must retain and the reasons for doing so.
Access, corrections and privacy requests
Subject to applicable law, you may request access to your personal information, corrections to inaccurate information, withdrawal of consent, or deletion where available.
We may need to verify your identity before responding. If we cannot fulfil a request in whole or in part, we will explain the reason, subject to legal restrictions.
Depending on where you live and which laws apply, you may have additional privacy rights. Contact us to exercise those rights or ask questions about your information.
Email updates
Communications about your registration or recruitment activity are separate from optional newsletters and promotional updates.
Where required, we obtain separate consent for marketing communications. You may unsubscribe using the link in those messages or by contacting us. Unsubscribing from marketing does not automatically remove your candidate profile.
Job listings and external websites
If you apply directly to an employer through a job listing, the employer collects and manages your application under its own privacy practices.
Links to employer websites, application systems and other external services do not place those services under our control. Review their privacy notices before submitting information.
Changes to this policy
We may update this policy as our services and practices change. The current version will be posted here with its updated date. We will provide additional notice or obtain further consent where required for significant changes.
